The e-Maintenance system can detect printer’s status. When there is a critical technical fault occurs, or when the device is not performing up to standard. The e-Maintenance system will notify Canon Administrators automatically, even during non-office hours, so that Canon administrator can provide timely help and support# to minimize the effect due to device downtime.

Fequently Asked Questions

Can the eMaintenance system (eRDS) work in an environment using dial-up connection?
The eMaintenance system (eRDS) is able to work in any environment so as long as it has access to the Internet. It is strongly recommended to use the Broadband network to achieve optimal performance.
What if the Canon devices are switched off during weekends?
If customers switch off their devices, the server will receive device information the next day when it is switch on again. When no signal is detected from customer’s devices after 7 days, Canon will contact the company to verify the status of the devices and/or to troubleshoot any issue.
How secure is the eMaintenance system?
The security of the eMaintenance system is maintained in 2 key areas:
  • Transmission of data from the Canon device to the UGW server over the Internet by means of HTTPS (HTTP over SSL) protocols.
  • Hosting the UGW at a fully qualify data center that is certified with BS7799 standards (the equivalent of ISO17799 standards) for Information Security Management System (ISMS).
How can the customer be assured that the device will not contain any malicious program which may break into our LAN and transmit information to outside world?
Security of our customers’ data is of utmost importance to us. As such, the firmware in the Canon devices is developed under stringent procedures in Japan, which includes thorough product testing and QA testing prior to market release. This ensures any possibility of breach in security is kept to the lowest.
What is the UGW server and will Canon reveal the live IP address of the UGW server to customers?
The UGW server, hosted at a remote data center, is the central server on which the eMaintenance system is based. The live IP address of the UGW Server will not be disclosed due to network security reasons.
Will eMaintenance slow down network traffic in the customer’s environment?
It is unlikely that the customer will experience slower network speed and connection under normal circumstances. Please refer to the Data Transmitting (eRDS) on the data type, size and frequency of the transmitted data information.
What data is sent from the device to the UGW server?
The 3 types of data being transmitted from the device are:
  • Counter Data: Billing Counter / Detail Counter
  • Quality Data: Error / Jam / Alarm Information (including toner low)
  • Debug Log Information

Terms and Conditions of eService

  • eService is a service to monitor the condition of the Equipment through internet connection using built-in communication component of the Equipment and utilize the collected data to maintain the Equipment (the “eService”).
  • The eService includes eMaintenance Service, Océ Remote Service etc.
  • These Terms and Conditions shall apply in addition to the terms and conditions of the current support service and/or maintenance service agreement(s) in respect of the Equipment (the “Agreement”). All terms and conditions of the Agreement shall remain in full force and effect. In case of discrepancies between these Terms and Conditions and the terms and conditions of the Agreement, these Terms and Conditions shall prevail.
  • The eService is NOT transferrable to any equipment that is not set out in the relevant Schedule to the Agreement. In the event of a change in Equipment by mutual consent of Canon Hongkong Company Limited (“CANON”) and the Customer, CANON and the Customer will have to enter into a new agreement for the eService.
  • CANON reserves the right to assign all or any part of the eService (which assignment the Customer hereby irrevocably and unconditionally consents to). Customer hereby irrevocably and unconditionally covenants and undertakes that it shall not at any time assign any or all of its rights and benefits entitlements in relation to eService without prior written consent of CANON.
  • Both Customer and CANON have the right to terminate the eService by prior notice in writing, of not less than 30 days.
  • CANON reserves the right to amend any of these Terms and Conditions without prior notice to the Customer.

Customer’s Responsibility

  • The Customer is responsible for his own network infrastructure, internet connectivity and any other cost incurred to maintain those above in good working environment. CANON cannot provide any eService in cases where the Equipment is unable to communicate with the server due to internet communication failure between the Customer’s internal and external environment.
  • Free on-site installation must be requested by customer and completed within 30 days after delivery of printer, and the entitlement will be forfeited afterwards.
  • The Customer shall authorize :
    1. CANON to connect the Equipment to CANON’s remote server;
    2. CANON to transmit Equipment related hardware information (“Service Data”) and meter reading(s) (“Meter Counter Data”) from the Equipment to CANON’s remote server;
    3. CANON to install the printer software updates from CANON’s remote server;
    4. the establishment of HTTP/HTTPS communications between the Equipment, the eService, and CANON’s remote server;
    5. CANON to use Service Data for the purposes of providing the eService, product/service improvement and development activities; and
    6. Canon to use Meter Counter Data for the purposes of copy charges billing.
  • In order to maintain the connectivity of the eService, the Customer shall keep CANON informed of any changes to its network environment (including without limitation change of IP address, hostname, Web proxy details), so as to facilitate the change of relevant settings of the eService.
  • The Customer acknowledges that availability of the eService is dependent on Internet connection and that CANON shall not be liable for any loss or damage (including arising from the security or loss of data) arising from such Internet connection.
  • Where firmware provided includes a third party software, the Customer agrees to enter into any End-User License Agreement (“EULA”) with the licensor of the Software as may be required and agree to comply with the terms of the EULA or any other terms of use imposed by the licensor.
  • For any discrepancy between the English version and the Chinese translation, the English version shall prevail.
